Meet Physicians Face to Face

HCMS holds numerous meetings and events for member physicians and medical students throughout the year. We cordially invite you to become a Meeting Sponsor for these events. Sponsoring a meeting will enable you to access our members and grow your business. Meeting Sponsorships start at $350. Meetings Hosted by HCMS Throughout the Year

In-Person Meetings
Branch Meetings – Held regionally - 14 meetings per year
HCMS divided Harris County into seven geographic branches to enable our member active physicians and residents to network with colleagues within their communities. Each HCMS member is designated to a branch based on the zip code of their primary office address. The format of these events ranges from a networking hour with sit down dinner and CME to networking socials. Each branch meets twice a year (once between Feb-May; once between Sept-Oct). All events are held on weekday evenings, Tuesday-Thursday from 6-8 pm. Below are the seven branches and the general areas they cover. • Central Branch - Includes the area within the 610 Loop.
• East Branch - Includes the Baytown, Channelview, LaPorte Highlands, and Crosby areas.
• North Branch - Includes Humble, The Woodlands, and north areas.
• Northwest Branch - Includes Spring, Tomball, Cypress and northwest areas.
• Southeast Branch - Includes Pasadena, Clear Lake, and southeast areas.
• Southwest Branch - Includes Alief, Sharpstown, Bellaire, and southwest areas.
• Western Branch - Includes Memorial, Spring Branch, and west areas.

Depending on the branch, attendance ranges from 30 to 100 physicians across all specialties and practice settings. Up to five sponsoring organizations will be in attendance at each meeting. Friends of the Society 

Benefits of sponsoring a branch meeting:

• Company will be acknowledged in the email and fax invitations.
• Company will be introduced and acknowledged during the event.
• Company representatives will have an opportunity to meet the physicians and share information about their organization with the physicians at the event.
• Company may bring up to two representatives to the event.
• Company will receive a list of the attendees after the meeting. List will not include emails and fax numbers.
• No speaking opportunities are available at the meetings.

HCMS Women in Medicine Section - Two events per year
This section, established in 2020, will meet twice a year and will include all HCMS female physicians. Sponsorship benefits are the same as those at the Branch meetings.

Member Day @ The Health Museum - One event per year
HCMS invites its members and their families for a day of fun at The Health Museum. Physicians are offered a CME presentation on risk management. Sponsors are given a table to present their information to physicians and will receive a list of the attendees after the meeting.

Member Day @ The Park - One event per year
HCMS invites its members and their families for a day of fun at a local park. Sponsors will be recognized before and after the event and will receive a list of the attendees after the meeting. Additional sponsorship benefits will depend on the venue selected.

New Members and Young Physicians Reception – One event per year, usually held in August
Meet new HCMS members and Young Physicians, along with their families. More than 100 physicians and their family members attend this annual event held in The Health Museum’s Grand Hall. Physicians are offered a Continuing Medical Education seminar and the opportunity to visit with the sponsors. The meeting is held Tuesday – Thursday. Sponsorship benefits are the same as those at the Branch meetings.

Young Physicians Organization (YPO) – One event per year
The YPO consists of those members who are 40 years of age or younger or have been in practice eight years or less. The meeting includes a networking reception, dinner and CME. The meeting is held Tuesday-Thursday. Sponsorship benefits are the same as those at the Branch meetings. 

HCMS Social – One event per year
HCMS invites its members for a social. Sponsors will be recognized before and after the event and will receive a list of the attendees after the meeting. Additional sponsorship benefits will depend on the venue selected.

Each year HCMS pilots various events to increase member engagement and promote specific member benefits. Each event will be designed to meet its unique goals and special sponsorship benefits will be designed to accommodate format.

Medical Student Mixer – One event per year, usually held in late August
The Medical Student Mixer offers an opportunity to reach approximately 200 first and second-year medical students from Baylor College of Medicine and the University of Texas-Houston Medical School, University of Houston Medical School, and Texas A&M Enmed program as well as some HCMS physician leaders. Sponsorship benefits are the same as those at the Branch meetings, however, an Attendee List will not be provided after this event.

Virtual Meetings
HCMS will host five virtual meetings, inviting all of our active physician members and residents. All events are held on weekday evenings, Tuesday-Thursday from 6:30 pm – 8 pm. It will include half hour of networking (6:30 – 7 pm) and a one hour CME presentation.

The benefits of sponsoring meetings include:

• HCMS will email a link and password to the Zoom meeting, to all those who RSVP. The email will recognize all the sponsors and will include a hot link to their website. 
• Meeting chair will thank the sponsors during the meeting for their sponsorship, reading a short description about their services and/or sponsors will be invited to make a 30 seconds announcement introducing their company and how it benefits physicians. 
• Sponsors may have up to two (2) representatives participate in the Zoom meeting and network with the physicians virtually.
• Sponsors will be provided a follow up list of the attendees which includes:
               · Physician name, specialty, office address and office telephone number
               · Practice name and practice setting (Independent Practice, Academic, or Hospital Employed)
               · The list will NOT include email address or fax number. 
• After the meeting, HCMS will email all the physician attendees the attendance list for post meeting networking. The email will include information about the sponsors with a hot link to their website.

HCMS plans Specialty Society meetings for 14 of the 18 Specialty Societies in Harris County. Advertising opportunities include meeting sponsorship, website advertising and more.
